Position Requirements and Preferences 

  • Education: Masters Degree in Library & Information Science
  • Experience: Five year’s education and / or experience demonstrating the knowledge, skills, and abilities specified in this job description, preferred.
  • Abilities:
    • Current knowledge of library principles, practices, & regulations
    • Understanding of all library methods, techniques, and technology
    • Technical skills required to construct archival information retrieval systems
    • Knowledge of William Penn University history
    • Knowledge of new technologies & respective applications in libraries & archives
    • Understanding the university’s curriculum & mission to aid in the selection of library materials & the development of library services
    • Office management / coordination abilities
    • Independent decision making, ability to exercise good judgement, accuracy, flexibility, and well-developed critical thinking skills
    • Ability to work in an environment of shifting priorities, frequent interruptions, hectic pace, high level of interaction with students, staff, and / or the public
    • Working knowledge of computer software programs which may include:
      • Word

      • OCLC Bibliographic Utilities
      • Library ILS
      • University LMS
      • ContentDM
      • or similar programs
    • Expertise in online databases and searching techniques
    • Excellent written communication skills including proficiency in business English, grammar, punctuation, & spelling
    • Ability to handle high confidential matters & materials with discretion
    • Ability to work independently & as a collaborative team player in completing assigned tasks & meeting deadlines
    • Excellent customer service skills including phone & in-person reception etiquette
    • Proficiency with office machines including printer, scanner, & copy machine
    • Ability to travel & to work occasional evening and weekend hours
    • Is an effective TEAM player

Position Summary:

WPU strives to create a vibrant learning community for all its members, including students, staff, and faculty. To help foster that community, the Information Systems Specialist will lead by example and develop others’ leadership capabilities, employ relevant technologies, and actively demonstrate the Quaker virtues of simplicity, peace-making, integrity, community, and equality. Specifically, the Information Systems Specialist will provide a wide range of technical support for the university’s computing and information resources. Information Systems Specialists may have a primary assignment to support a specific academic or administrative unit, a specific campus, or may be assigned in an at-large technician role to serve the entire university.

Responsibilities: 

  • Librarian Administration
    • Performs professional and supervisory work in planning, implementing and managing a comprehensive program of library and archival services to the William Penn Community.
    • Manages all aspects of the library budget, tracking expenditures, preparing the annual budget request and, at the end of the fiscal year, assessing the effectiveness of budget allocations.
    • Coordinate the acquisitions of all library materials in conjunction with other members of the library staff.
    • Serves as the system administrator for the library’s ILS.
    • Authenticates and appraises all documents and materials for inclusion into the University Archives.
    • Preserves documents, images, objects in any format for preservation.
    • Organizes archival materials, in physical and digital format, to facilitate access and retrieval.
    • Supervises library staff, encourages professional development, and conducts annual performance reviews.
    • Develops and implements annually the library’s assessment plan.
    • Provides leadership with regard to creation and implementation of “best practices” in library management and administration.
    • Implements new technologies that enhance the student learning environment in the library.
    • Responsible for the physical library facility space planning and improvement.
    • In conjunction with other staff, update library social media sites.

    • Work cooperatively to support recruiting, retention, and student development.
    • Complete Annual Performance Evaluation, including annual review with VPAA.
    • Documents progress toward professional goals, commitment to excellence, and development of intellectual and professional skills.
    • Attends conferences; maintains a research agenda.
    • Supports and encourages other faculty; is willing to share expertise in conversation and in formal presentations.
    • Accepts criticism and counsel from peers, division chair, and the dean.
    • Remains current intellectually and pedagogically, including learning theories and the productive use of technology.

    • Actively participates on campus committees and/or student groups.
    • Actively supports student recruiting, retention, advising, and documentation processes to meet university goals and support student progress.
