Education Division Office Manager

Position Title: Education Division Office Manager

Department: Education Division

Position Requirements and Preferences:

A. Education Bachelor’s degree preferred.

B. Experience Three years education and/or experience demonstrating the knowledge, skills and abilities specified in this job description, preferred.

C. Abilities Document preparation and storage related to routine office functions, e.g. forms to enter the Teacher Education Program, Student Teaching, etc.

  • Filing of documents to include, but not limited to:
    • Student files
    • Including Teacher Education Program paperwork
    • Including Student Disposition paperwork
    • Maintain the SIS Database and CASPS Moodle for education student records (Field Experience documentation, Diverse Placement Chart, Key Assignment B Grade check, Background Check)
    • Division program files (e.g. syllabi, division meeting minutes, faculty resumes, vita, etc.)
    • State Department of Education required curriculum exhibits (in collaboration with Division License Official)
    • Work with course instructors to ensure that all time sheets and evaluations are submitted for all necessary courses
    • Maintain accurate and up-to-date student records
    • Maintain accurate and up-to-date adjunct records
  • Facilitate and respond to the Education Division correspondence via email
  • Assist students with:
    • Registration for Praxis II exams
  • Telephone inquiries:
    • Routing calls to appropriate faculty
    • Answering questions concerning division programs, policies, and procedures
  • Assisting in the organization and implementation of division functions:
    • Division meetings
    • Teacher Education Committee (TEC) and Teacher Advisory Committee (TAC) meetings
    • Semi-annual cooperating teacher seminars (CASPS & Distance)
    • Semi-annual Board of Educational Examiners seminars
    • Summer residency for Distance Learning students
    • Bi-Monthly Faculty/Staff retreats
  • Keep minutes for:
    • Monthly Division faculty meetings and retreats
    • Semi-annual TEC/TAC meetings
    • Save and file meeting minutes and send copies of all minutes to Academic Dean’s Office
  • Provide appropriate assistance to division faculty and staff as needed
    • Collect, file, and send copies of all syllabi to Academic Dean’s Office Licensure Official



  • Advise students on issues related to program procedures
  • Keep appropriate records:
    • Ordering of supplies as needed
    • Collect and deposit funds when appropriate
  • Responsible for operation and maintenance of office copier, fax, printers, laminator, etc.
  • Assist Education Division Chair with monitoring of Division budgets
  • Post, hire, train, and supervise Education Division work study students
  • Assist Education Division Chairs and Distance Learning Coordinator in the search and screen process for any new staff and faculty hired
  • Monitor use of ECC and organize/clean when necessary
  • Other responsibilities as deemed necessary by the Education Division Chair
